070: Setting Apart Base-Level and Elite-Level Practices

Aug 01, 2019

Episode 60 talked about quarterly calibration with Mark’s method (The 4 Disciplines of Execution). THIS episode is from Kiera’s point of view using Gino Wickman’s Entrepreneurial Operating System from his book Traction: Get a Grip on your Business. The good news: While the vocabulary between the two might be different, the ideas are the same — successful quarterly calibration meetings improve dental practices every single day.

Kiera explains the details behind the agenda points below (which you can find online!):

  1. Segue
  2. Ice breaker activity
  3. Review of previous quarter
  4. Build issues list*
  5. Establish rocks*
  6. Tackle key issues
  7. Next steps
  8. Rate the meeting

* These steps are interchangeable.

But what if a single person or department is taking all the blame for ineffective office management? These meetings can get uncomfortable, but they’re necessary to progressing the practice. Make sure you have the right people in the right seats, people who want the business...

069: Time Suck? Let’s talk personal assistants

Jul 31, 2019

Does having a personal assistant mean you’re extremely wealthy? Kiera says no! This episode is all about the benefits of personal assistants, and the journey Kiera went on to realize them. Hiring a personal assistant can help you maximize your time on to-do list items that are important rather than urgent.

Still not convinced? Try time journaling or brain dumping your day-to-day life. Figure out where you’re spending your time and recognize your patterns. Then, take two highlighters (or three, in Kiera’s case) and highlight the items only you can do, then the items that can be delegated out. When Kiera hired her personal assistant just to help book travel, she saved roughly 30 hours a month.

068: “Imprint” on Your Team Members

Jul 30, 2019

Dr. Summer Kassmel is back with some quick and dirty tips on creating relationships between doctors and team members. Her go-to? Success stories! She gives a two-page document to her team members after they’ve been on board for at least 90 days. The document asks such questions as…

  • Where do you feel you are physically? Mentally? Spiritually?
  • Do you feel like there’s growth potential in these areas?
  • Where do you want to end up in each of these areas?
  • Do you feel you’re a success?

Once a year, Dr. Kassmel takes each team member out to lunch, one-on-one, and talks about the answers. What’s holding a certain team member back? Is it finances? This way, she’s building a personal relationship with each and every team member.

Kiera echoes Dr. Kassmel’s thoughts: It’s important for doctors to know their team! Investing in your team is one of the most important things a doctor can do.

066: Teaching Your Team to Flex

Jul 24, 2019

Today’s episode is a lovely dose of summer-lovin’ with Summer Kassmel! How can you establish a goal-oriented office? Kiera and Summer lay down their own tips, including Summer’s unique approach when her team almost-but-not-quite hit all four of their May goals. Instead of letting it slide, she gathered the group around for discussion — what went wrong? How could the team learn? Solutions came from all corners!

A few tips to get your own teams motivated:

  1. As a leader, know your vision
  2. Give your team the tools to reach those goals
  3. When goals aren’t met, use it as a learning opportunity
  4. Take ownership as leader

Remember: An effective office trickles down from the leader. Kiera closes with a great canoe race example that shows how important good leaders are.

065: This Dental Decision is MORE Important Than Who You Marry

Jul 23, 2019

Are you hungry for some Dental Nachos? Kiera virtually sits down with Paul Goodman and Ariel Meredith of Dental Nachos in this episode, and the group dives into the challenges facing new dentists when it comes to buying a practice. Dental school is four long years of good education, but there’s often a missing piece — learning how to actually buy a practice. Often recent grads will take the less scary routes of residency or associate positions because they don’t have the guidance they need.

Dental Nachos can help! Paul and Ariel share the coaching they offer when prospective practice owners call them with questions about where should they be looking, how to go about purchasing a practice, whether there’s anyone in the area looking to sell, examples of specific brokers, etc.

Plus, Paul shares what an ideal first practice looks like:

  • Over $700 K in collections
  • Five operatories or more
  • A solid team
  • The location is somewhere you might want to live for the next...

064: Multi-Tasking is a Lie

Jul 18, 2019

Does running a mile relate to running a business? It sure does! In this solo episode, Kiera gives tips on effectively managing your time, whether you’re a doctor or a team member. Spoiler alert: That means NOT whipping through emails and half-heartedly answering questions.

Doctors, stop wasting time in your office! Team members, look for ways to be more efficient! The best offices run on teamwork, and that’s the love Kiera’s spreading in this episode. Some of her tips include:

  • Doctors staying on the floor and not in their offices (except lunch time and end of day)
  • Creating a desk staging area next to operatories for downtime
  • Setting time aside for administrative work

Those are the highlights, now listen to this quick episode for the reasons behind them!

062: Dental Nachos!

Jul 16, 2019

Kiera is fresh off a Dental Nachos event, and she’s sharing a big take-away: the differences between doctors and team members. Folks, it’s time to align perspectives once and for all — the right dental team helps a business grow and be more profitable.

  1. A few steps to getting there:
  2. Talk numbers and be okay with it
  3. Build goals together
  4. Motivate your team (and be creative about it!)
  5. Appreciate an outside perspective

It boils down to this: Doctors, if you don’t have a profitable practice, you are not a good leader or owner. If you have a business, you should be making money; if not, it’s just a hobby. Give this episode a listen and Kiera will walk you through how the above steps will help grow your business and the community working around you.

061: Battling Human Nature with Quarterly Team or Leadership Meetings

Jul 11, 2019

Mark and Kiera are reunited! In this episode, the two discuss quarterly calibration meetings for team members. Did you know human nature causes us to fall off track of our goals after 90 days? Quarterly meetings can help keep your office focused, especially when Kiera and Mark are involved and calibrated language is used.

Mark shares what it means to have productive meetings using the PITA method:

  • Present & Participation
  • Intention
  • Time
  • Agenda

Kiera discusses the 8-hour meeting she held just that day, including why the hour-and-a-half spent on office morale was the best conversation they could’ve had.

The two also pour their hearts out on the implementation of AirPods in their lives. This episode + more at www.TheDentalATeam.com.
