How to minimize cancellations

Cancellations happen for many reasons and create frustration for doctors and teams alike. Not only do they disrupt the schedule, but they also leave the team scrambling to recoup lost revenue for the day. By implementing strategic systems and communication techniques, you can minimize cancellations and no-shows!

 

Here are some tips and tricks to help minimize cancellations:

1. Create Value for Patient Treatment

The way we communicate treatment needs significantly impacts patient perception. Avoid using limiting words such as “little” cavity or “minor” bleeding, as these can minimize the importance of care. Instead, use empowering verbiage like: “The great news is, we caught this early.” This helps reinforce the value of timely treatment and encourages patient commitment. 

2. Implement a Reservation Fee System

Consider charging a reservation fee rather than a cancellation fee. Patients who are unwilling to pay a reservation fee may not be truly committed to their appointment. Knowing this upfront allows you to revisit the benefits of treatment and the consequences of delaying care, reducing the likelihood of last-minute cancellations and no-shows.

3. Refine Your Appointment Reminders

Avoid using subliminal messaging that makes it easy for patients to cancel. Instead of asking for a “confirmation,” reinforce commitment by referring to their appointment as a “reservation.” For habitual offenders, establish a policy requiring them to call back by a certain deadline to keep their reserved time. This approach allows you to manage appointments proactively.

Develop a VIP or Priority List

Having a waitlist of patients who are eager for an earlier appointment helps fill short-notice openings. Make it a habit to ask patients, “If we have a sooner opportunity, would you be interested?” This simple question ensures a pool of committed patients ready to step in when a slot opens up. 

 

While it may not be possible to eliminate last-minute cancellations entirely, taking control of how they are managed can significantly reduce their impact. Implementing these strategies will minimize schedule disruptions, reinforce the value of treatment, and reduce the need for cancellation fees—ultimately preventing negative reviews and fostering stronger patient relationships.
