Who should build the Operations Manual?

Building an Operations Manual is NOT a one person job. This is a space of business that takes a village to accomplish! I mean, let’s be serious, our Ops Manual template we provide to offices across the country is 650 pages! One person responsible for that much is like asking someone to build a house by themselves.

Here’s a quick reference of how to get the Operations Manual done using your amazing team:

  • Make a list of every single “to do” item that you are responsible for in your position (each team member will do this, front office to back office!)
    • PRO TIP: time journal for 1-2 weeks in your day to day to look for everything you do, make a list of all individual pieces that belong to you
  • Have a coworker from a different position review this list to look for any duplicates or items they believe you do that you may have missed or forgotten
  • Separate these duties into: daily, weekly, monthly, quarterly, yearly lists
  • Create the “How To” protocol write up for each listed item
    • If you were to train someone to do this thing, what would they need to know? How would you accomplish the training?

 

Taking something of this magnitude on one person’s shoulders can easily lead to burn out, confusion and lack of value understanding throughout the team. Any chance you have to involve the team will ramp up accountability, buy in and keep them on track with your expectations

 

Caveat, you do need to review this packet once done! Get your eyes on it as a final edit and ensure what you want done, is being done and that what you’ve asked to be removed from systems, has been. Take ownership of your business but don’t task yourself with it all.

 

Bottom line, everyone has a part to play, let them into the party!
